Move Out Process

Students can move out of their on-campus housing at any time, however, different processes are entailed with each move out process throughout the academic year.


End of Lease Move Out Process

Each lease agreement runs from the beginning of the Fall semester in August until the end of the Spring semester in May. To appropriately move out at the end of the lease, a student must complete the following:

  • Remove all personal belongings from their on-campus housing room
  • Thoroughly clean the room
  • Return their key in a filled-out key envelope to the key box located outside of their hall/apartment’s office (envelopes are available outside of their hall/apartment’s office)
  • Complete the ‘Leave UCA Housing’ form on my.uca.edu in their MyHousing Portal under the ‘My Room’ tab labeled ‘End of Lease Checkout’ 

Failure to complete any of the above steps will result in additional fees placed on the student’s account. Damage and cleaning fees may be applied to the account should there be necessary maintenance in the student’s room after they move out. Failure to return your key will result in a doorknob re-core fee. Failure to complete the ‘End of Lease Checkout’ form will result in an improper checkout fee.


Mid-Lease Move Out

Students leaving UCA Housing at any point within the leasing term will be charged the $425 Lease Buyout fee. According the student’s lease agreement, the only permissible reasons to leave on-campus housing without incurring lease breaking fees are the following: graduation, student teaching or academic internship, marriage, or military leave.

To leave UCA Housing at any point during the leasing term, students must complete the following in order to avoid additional charges on their student account:

  • Remove all personal belongings from their on-campus housing room
  • Thoroughly clean the room
  • Return their key in a filled-out key envelope to the key box located outside of their hall/apartment’s office (envelopes are available outside of their hall/apartment’s office)
  • Complete the ‘Leave UCA Housing’ form on my.uca.edu in their MyHousing Portal under the ‘My Room’ tab labeled ‘Leave UCA Housing’

Students moving out at any point during the leasing term will be charged the $425 Lease Buyout Fee due to premature cancellation of the Housing Lease Agreement. Additionally, the student will forfeit their $100 Housing Deposit. All students who are moving out prior to the end of the leasing term must complete the ‘Leave UCA Housing’ form on my.uca.edu in their MyHousing Portal under the ‘My Room’ tab. Housing charges will continue to be charged to the student’s account until the ‘Leave UCA Housing’ form has been submitted by the student.

Freshmen Students Leaving UCA-Housing

Freshmen students wishing to live off-campus are required to receive an approved ‘Freshmen Housing Exemption Request’ form prior to leaving UCA Housing. Should a freshmen student leave on-campus housing without an approved Freshmen Housing Exemption Request, they will be responsible for the remainder of the full academic year charge and do not have a Lease Buyout option but may be approved for an exemption. Cancellations during the lease period result in the forfeiture of the $100 deposit.

Freshmen students wishing to leave UCA Housing will need to complete the following steps in order to avoid additional charges on their student account:

  • Complete the ‘Freshmen Housing Exemption Request’ form on my.uca.edu in their MyHousing Portal under the ‘Forms’ tab, and receive an approval email from the Housing and Residence Life Department
  • Remove all personal belongings from their room
  • Thoroughly clean the room
  • Return their key in a filled-out key envelope to the key box located outside of their residence hall’s office (envelopes are available outside of their hall office)
  • Complete the ‘Leave UCA Housing’ form on my.uca.edu in their MyHousing Portal under the ‘My Room’ tab

Failure to complete any of the above steps will result in additional fees placed on the student’s account. Should the student leave UCA Housing without receiving an approved Freshmen Housing Exemption Request form, they will be charged full semester housing charges on their student account.

Summer Move Out Process

There are multiple different term sessions during the summer: May Intersession, Summer 1, Summer 2, and August Intersession. Each of these terms have similar move out processes, but different dates and deadlines. All students will be notified of these dates to their UCA issued CUB email, and will have the opportunity to apply for and change their Summer Housing term session through their MyHousing Portal.

For a student to appropriately move out during the summer, a student must complete the following:

  • Remove all personal belongings from their on-campus housing room
  • Thoroughly clean the room
  • Return their key in a filled-out key envelope to the key box located outside of their hall/apartment’s office (envelopes are available outside of their hall/apartment’s office)
  • Complete the ‘Leave UCA Housing’ form on my.uca.edu in their MyHousing Portal under the ‘My Room’ tab labeled ‘Summer Move Out’ 

Failure to complete any of the above steps will result in additional fees placed on the student’s account. Damage and cleaning fees may be applied to the account should there be necessary maintenance in the student’s room after they move out. Failure to return your key will result in a doorknob re-core fee. Failure to complete the ‘Summer Move Out’ form will result in an improper checkout fee.
