Semester Exchange Credit Transfer Process

  • Students will complete a UCA Education Abroad Course Approval Form. This form is to be signed by the department chair to determine UCA and partner institution course equivalences.
  • If a student is looking to receive UCA Core credit for coursework abroad, the following links may be helpful–LD core and UD core.
  • Only passing work receives credit (CR). If a student fails a class abroad, no credit (NC) will be reflected for the course on the UCA transcript.
  • Although academic credit earned in a UCA approved Education Abroad program will transfer to the UCA record on a credit or no credit basis, students should understand that they will still need to meet any scholarships renewal requirements for minimum credit hours. Failing a course abroad, though not detrimental to a student’s UCA GPA, could result in a student falling below the minimum credit hours required for renewal, thereby jeopardizing the scholarship.
  • Students planning to attend graduate school should understand that they may be asked to provide an official transcript from the international university showing actual grades earned. In this case, students may request an official transcript from the host university.
  • Once a student is abroad has finalized their schedule, a copy of the final schedule must be shared with the UCA Office of Education Abroad.
  • If you drop below the hours you are currently registered for with UCA, please contact our office immediately to request changes in your UCA course registration.
  • If you increase your course load abroad and it no longer matches the hours you are registered for at UCA, please contact our office immediately to request changes in your UCA course registration.
  • If you need to make any changes to your original course approval form, contact the UCA department chair to get course approvals in writing and send those approvals to the Education Abroad Office.
  • Students must pass each course to receive credit (CR). All courses taken abroad must be accounted for on the UCA transcript.
  • If the host institution provided a copy of the official transcript, please send the transcript to the UCA Education Abroad Office. Otherwise, the office staff will notify the returning student once we have received the original transcript from the host institution.
  • Upon reception of the official transcript from the partner university, the Office of Ed. Abroad will review Course Approval Form(s) on file and contact the returning student in case of any discrepancies.
  • In some cases, if a student has not alerted to Office of Ed. Abroad to changes made to their course schedule while abroad, the returning students may need to meet with department chairs to seek additional approvals.
  • The Office of Education Abroad will record all post-approval signatures on the course approval form. Then, a memo, along with the official transcript from the partner university will be delivered to the UCA Office of the Registrar to enable final recording of UCA credit.
  • All coursework will be noted as credit/no credit. Grades that students earn abroad will not count towards their institutional nor overall GPA.
  • The student has the responsibility to check that the credit is reflected correctly for coursework on the UCA transcript.
  • If a student receives the Arkansas Academic Challenge Scholarship, the student must request that an official transcript reflecting credit be sent to ADHE from the Office of the Registrar in order to maintain the scholarship.
