Semester Exchange Application Steps

The deadline to apply for the Fall 2021 semester abroad is March 15th.

The deadline to apply for the Spring 2022 semester abroad is September 17th.

 Semester Exchange Application Steps

To apply for a semester exchange or direct enroll placement, please follow these steps.

Step 1) Meet with a Education Abroad Peer Advisor

First, you will need to schedule a virtual meeting with a peer adviser to discuss the semester exchange partner universities and ask any general questions. Read a general overview here. 

Step 2) Meet with Education Abroad Staff

Once you have an idea of which partner university you would like to apply to, you may request an appointment with either Taylor, Education Abroad Advisor, ( or email Natalie, Education Abroad Director, ( to learn more detailed information such as visas, housing, and budgets. 

Step 3) Apply for Passport

Apply for a passport if you do not already have this document. Passport applications can be found here. 

Step 4) Contact Financial Aid

Meet with the Office of Financial Aid to review the budget and your specific financial aid package. For more information, see the Financial Aid Overview and Funding Options. 

Step 5) Course Approval Form(s)

The course approval form should be completed with the classes you plan to take at UCA’s partner university abroad and signed by the chair of the department. A new course approval sheet should be used for each department under which you would like to receive credit while abroad. 
Make an appointment with the professor and/or the department chair to get approval of your course selections. Upload a photocopy of these documents to your online application, or email to

 Step 6) Start the online application

       The online application ask for the following information: 
  • Provide basic contact information
  • Complete and upload the course approval form
  • Complete online Education Abroad Health Form
  • Upload a copy of your Bear ID
  • Upload a copy of your signed passport 
  • Complete the online contract for Education Abroad

Step 7) Request 2 reference letters

The reference letters submitted on your behalf should be written by former or current UCA professors and reflect support of your plans to education abroad. Reference letters can be submitted by others such as advisors or employers as well. All letters must be submitted by your reference via email to Natalie Flemming, Education Abroad Director, at
