Gmail: Setting up filters

You can manage your incoming mail using Gmail’s filters to send email to a label, or archive, delete, star, or automatically forward your mail.

  1. Within Gmail, in the search box at the top, click the down arrow. Then enter your search criteria.
  2. At the bottom of the search window, click Create filter with this search.
  3. Select the check boxes for the actions you would like the filter to do:
    • Skip the Inbox (Archive it) – This removes the Inbox label from the email. Any other labels will not be affected.
    • Mark as read
    • Star it – This adds a star to the email.
    • Apply the label – This applies a label to the email. To create a label, click New label from the drop-down list.
    • Forward it – This forwards an email to an address you’ve previously entered in the Settings area.
    • NOTE: When you create a filter to forward messages, only new messages will be affected. ​Additionally, when someone replies to a message you’ve filtered, the reply will only be filtered if it meets the same search criteria.
    • Delete it
    • Never send it to Spam – This is helpful is email from a legitimate source is getting sent to Spam in error.
    • Send canned response – If canned responses are turned on, you can have the filter automatically send a canned response you’ve previously created.
    • Always mark it as important – This adds the important marker to the email.
    • Never mark it as important – This removes the important marker from the email.
  4. To apply the filter to emails already in your mailbox, select the check box Also apply filter to matching conversations.
  5. Click Create filter.
