Conversion Charts

These conversion charts were designed to assist departments when converting effort in the form of a percentage to calendar/person months or converting calendar/person months to an effort percentage based on the term of appointment. These charts can be especially useful during the proposal process to determine effort commitments to charge a sponsored project and/or cost sharing account.

Please choose from the twelve- or nine-month appointment charts as appropriate.

At UCA there are three basic salary (wage) bases: Calendar Year CY, Academic Year (AY), and Summer Term (SUM). Here is a monthly/weekly/daily/hourly breakout for each.

EXAMPLES

Example 1

A PI on a CY appointment at a salary of $78,000 will have a monthly salary of $6,500 (one-twelfth of the CY salary). 25% of CY effort would be equal to three (3) CY months (12 x 25% = 3). The dollar amount for the budget would be $19,500 ($6,500 x 3 CY months).

Example 2

A PI on an AY appointment at a salary of $49,500 will have a monthly salary of $5,500 (one-ninth of the AY salary). 25% of AY effort would be equal to 2.25 person-months (9 x 25% = 2.25). The dollar amount for the budget would be $12,375 ($5,500 X 2.25 AY months).

Example 3

A PI is on an AY appointment at a salary of $49,500, not teaching during any of the summer terms, can earn a maximum of three (3) months of their base salary on grants (one-ninth of AY salary = $5500 x 3 months = $16,500). But this is the maximum amount on all grants. If the PI is teaching, the salary for teaching must be deducted from the three-month maximum to arrive at the allowable maximum. NOTE: NSF grants only allow 2/9ths (10 weeks of summer salary) of the AY salary.

Part Time Appointments

If an individual has a part-time appointment, the person months must be adjusted accordingly. The formula is as follows:

% Effort x % of appointment (or term of the appointment) = person months

Examples:

100% effort x 50% of a twelve-month appointment = 6 person months

50% effort x 50% of a twelve-month appointment = 3 person months

50% effort x 50% of a nine-month appointment = 2.25 person months
