ADMINISTRATIVE SPECIALIST II-INTENSIVE ENGLISH PROGRAM
Job description: One year temporary position; Acts as receptionist for Intensive English Program office suite. Researches Banner/Argos, and other data storage areas and/or computer records to obtain information and compiles data for reports, letters. Maintains activity logs and financial information. Compiles and inputs data regarding class schedules and room assignments. Compiles financial information used to formulate budget proposals and monitors expenditures. Creates and executes necessary forms in order to handle routine travel and purchases and maintains accurate records of these transactions. Monitors office supplies and other materials needed in the Intensive English program. Supervises student workers. Maintains accurate files. Answers phone, processes in-coming and out-going mail, photocopies, files, data input, and other duties as assigned.
Knowledge, Abilities, and Skills: Excellent interpersonal skills and international experience and/or willingness to work with international students who may possess limited English proficiency.
Competence with Word and Excel software. Knowledge of FERPA rules and regulations in all matters related to students. Knowledge of record keeping procedures. Knowledge of mathematics and statistics. Ability to conduct research and compile data into report form. Ability to establish and maintain filing systems. Ability to operate standard office equipment. Ability to analyze·documents to determine compliance and rules, regulations, and procedures. Ability to effectively communicate both orally and in writing.
Minimum Qualifications:The formal education equivalent of a high school diploma; plus two years of experience in a specialized or related area applicable to work performed. Additional requirements determined by the agency for recruiting purposes require review and approval by the Office of Personnel Management. OTHER JOB RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS, EXCEPT FOR CERTIFICATION OR LICENSURE REQUIREMENTS, UPON APPROVAL OF THE QUALIFICATIONS REVIEW COMMITTEE.
